JVST (http://jvst.us) is looking for an Office Manager/Bookkeeper. We’re a boutique, full-service advertising & design agency based in San Francisco specializing in innovation and high-impact creative work. As Office Manager you will be responsible for daily office maintenance, financial data entry and HR administration. You will be in charge of office supply maintenance including snacks/office supplies/equipment and all the daily tasks of keeping the office neat and efficient, and in addition you’ll help organize and plan our company gatherings/outings/group meals etc. You’ll also function as the front desk greeter for the office, book travel and assist new hires during the onboarding process.
We’re looking for a fun, enthusiastic and proactive person to help keep our office running smoothly and contribute to a creative agency, and we’re happy to consider candidates who eventually want a career in an agency as well as those directing their career towards office management.
Personality is a HUGE determining factor with this position as opposed to directly relatable experience. If you’re organized, proactive, positive and super awesome, we want to hear from you!
Reception and greeting duties, including answering phones/transferring calls, greeting visitors and, occasionally, arranging transportation
Assist in financial duties including processing expense reports, accounts payable/receivable, data entry and bookkeeping
Management of equipment and supplies, including vendor selection/ordering/coordination and tracking.
Event planning including meetings/company outings/parties/group meals etc
Making various travel arrangements
Onboarding for new employees, including processing of paperwork, employee handbook and basic HR procedures
Running office errands
A bachelor’s degree from an accredited university is required
Experience in an agency is a HUGE plus
Experience with Clients and Profits (the software) would be amazing
Experience in an office environment would be awesome
Experience with basic accounting/bookkeeping would be the bee’s knees
Excellent communication skills and an awesome personality is required
Proficiency with the Microsoft Office suite (Word/Excel etc)
Proficiency with the internet (we ARE a digital agency afterall)
Ability to multi-task with a bunch of other awesome multi-taskers
Totally excellent problem solving skills, and the desire to organize even a hoarder’s home. Not that we’re hoarders. Yet.
